Job Description

A well-established private investment firm in Coconut Grove is seeking a polished, proactive Receptionist/Office Coordinator to join their dynamic team. This temp-to-hire role offers long-term growth potential for the right candidate who thrives in a fast-paced, high-expectation environment. The ideal individual is organized, resourceful, and professional, with the ability to think quickly on their feet and maintain a strong presence with internal teams and external visitors.

Responsibilities:

  • Serve as the primary face of the office, greeting and assisting visitors professionally
  • Ensure the office is fully operational daily, including copiers, supplies, kitchen, and vendor coordination
  • Manage vendor contracts, maintenance requests, and office operations (HVAC, copier leases, pest control, etc.)
  • Oversee expense reporting, credit card reconciliation, and administrative documentation
  • Support onboarding processes and coordinate team communications
  • Draft and send professional email communications, manage mail, and coordinate in-office meetings
  • Assist with team lunches and other internal office events
  • Provide support to Executive Administration team as delegated

Qualifications:

  • Highly organized, detail-oriented, and proactive
  • Strong written and verbal communication skills
  • Comfortable managing multiple priorities in a fast-paced environment
  • Professional, polished, and confident when interacting with executives, investors, and vendors
  • Experience in office coordination, administrative support, or professional services preferred but not required
  • Ability to prioritize tasks, anticipate needs, and work independently

Schedule & Compensation:

  • Monday – Friday, 8:30 AM – 5:00 PM (1-hour lunch)
  • Fully on-site, 5 days/week
  • Hourly, non-exempt role with overtime eligibility
